Administration Support Volunteer (25-26BLKLFLAS2148) Blacktown, NSW

Administration and Customer Service volunteers participate in a range of activities and supporting administrative tasks such as answering phones and email queries, entering and managing important data, and organising mail-outs. They also support positive interactions with parents/carers, school staff, and other Smith Family team members and volunteers during their engagement.

Through this rewarding role, volunteers provide critical background support for the educational and social development of young Australians in need so they can succeed at school and create better futures for themselves.

At The Smith Family, we provide all our volunteers with key information about our work, important policies relevant to volunteering, and role-specific training. For this role, volunteers will complete a combination of online induction and ‘on-the-job’ task training to prepare them for their volunteering role.

Key Activities / Duties

  • Review documents that need to be scanned and saved into SharePoint.
  • Manage email tasks
  • Manage data entry and Excel spreadsheets
  • Perform general administrative duties including archiving of hard copy documents earmarked for secure commercial storage.
  • Perform general administrative duties that would support a Program Coordinator.
  • Accurately applying naming conventions to digital files
  • Assist with file migration to the appropriate team library/folders in the NSW ACT State Operations SharePoint library hub.
  • Conduct research in record management practice

Skills / Experience

  • High level of attention to detail
  • Excellent customer service, interpersonal, and written communication skills
  • Ability to multitask and work to tight deadlines
  • Ability to work independently as well as part of a team
  • Experience that demonstrates sound record management practices
  • Strong computer skills including database management and use of current Microsoft Office programs including Excel and Outlook
  • Previous experience providing administrative and customer service assistance within a professional and confidential environment is desirable
  • Awareness of the Education and Community Services sector and issues affecting young people impacted by poverty is desirable.
